Protecting personal data
Keep names, contact details and sensitive information about people out of AI tools that are not approved for them.
Personal data is any information about an identifiable person: a name, an email address, an employee file, health information, a customer history. Pasting it into a public AI tool can mean sending it to a third party, outside the company's control.
Under the GDPR, the company must know where personal data goes and why. A prompt that contains a customer file or an appraisal can breach that obligation, even with the best intentions.
Before sending a request, remove or pseudonymise names and identifiers, use only the tools your company has approved for this kind of data and, when in doubt, ask your data protection officer.
