Invite members

Invite people to your organization by email with a role and groups, and follow up on invitations.

Owners and Admins invite people from the member list. You can invite up to 100 email addresses at once: they all get the same role, and optionally the same groups.

How an invitation works

  1. Each person receives an email with a personal link.
  2. The link works once and expires after 7 days.
  3. The person signs in, or creates an account, with the invited email address. A link opened from an account with another email address is refused. The invitation waits in the browser tab while they sign in (with a password, a code, Google, Microsoft or your SSO).
  4. They join the organization with the role and groups of the invitation.

The link is personal: it should not be forwarded. For security, its secret part never appears in the address bar, in server logs or in the links your browser shares with other pages.

Someone who is already a member keeps their current role when they accept a new invitation.

Follow up

The invitation list shows each invitation with its status:

Status Meaning
Pending Sent, not used yet
Accepted The person joined the organization
Revoked Cancelled by an Owner or an Admin: the link no longer works
Expired Not used within 7 days

To send a new link, invite the same address again: the previous link stops working. To cancel a pending invitation, revoke it.

If the invited person deletes their Maketools account, the invitations sent to their address are erased from every organization: a pending one disappears from the list, and its revocation is recorded in the audit log.

Rules

  • You can only invite with a role at or below your own. Admins cannot invite Owners.
  • Groups must exist in your organization.
  • On the Free plan, an invitation accepted beyond 3 members is refused (it stays pending): see Plan limits.
  • Every invitation sent, accepted, refused or revoked is recorded in the audit log.
